Zapier AI automation fills the gaps between apps your AI assistant can't reach directly. Zapier says it connects 9,000+ apps (as of Oct 2026), and my bot team uses it for jobs no other connection covers.

What Zapier Connects

  • Workflows across 9,000+ apps as of Oct 2026, with AI steps, code actions and Zapier MCP for AI tools (source).
  • Each app has triggers ("when this happens") and actions ("do this"). A payment app, for example, can have triggers like New Payment and actions like Create Invoice (source).
  • Payment apps can connect to AI tools through Zapier's MCP (source).
  • Zapier's own primer on business automation: (Business automation on the Zapier blog).

How I Set Mine Up

In my Zapier account I connected the apps my shop runs on: Gmail, Google Calendar, my repair software, payment apps and booking app. My bots reach them through Zapier's MCP connection. Read-only is the default.

How It Helped Me

  • Books checks: my accountant bot pulled card payments from my payment app through Zapier, read-only, and matched them to repair invoices month by month. That's work I never had time to do.
  • An honest limit: one payment app's Zapier connection only looked up one payment at a time, so for a full history I exported a file myself instead.
  • Planned: creating store orders through Zapier's Shopify app, because my direct store connection can't create orders. It isn't set up yet.

Extra Steps You Might Need

  1. Make a Zapier account and connect each app on the Apps page.
  2. Keep write actions off until you trust the workflow.
  3. Never paste keys into a chat. Zapier connects with each app's own sign-in.

Step By Step: Filling A Gap

  1. Find the gap: an app your bot can't reach directly.
  2. Check whether Zapier connects to it, on Zapier's own app pages.
  3. Connect the app in your Zapier account and finish the sign-in yourself.
  4. Decide which actions your bot may use, starting with read or find actions.
  5. Test each action once and check the result in the app itself.
  6. Keep writes as approvals: anything that creates, sends or changes waits for your OK.
  7. Review your connected actions monthly and remove ones you don't use.

Prompts To Copy

When to use it: Checking what's available.

List the Zapier actions you can use right now, grouped by app. Don't run any of them.

Est. Usage: Low

How to adapt it: Run it after you add or remove an action.

When to use it: A read-only test.

Use Zapier to find [record] in [app] and show me what you found. Don't change anything.

Est. Usage: Low

How to adapt it: Swap in a record you can easily check by hand.

When to use it: Before a write.

Draft the [create or update] action you'd run in [app], with every field filled in, and wait for my OK.

Est. Usage: Medium

How to adapt it: Use it for any action that changes data.

Worked Hypothetical: An App With No Connector

Hypothetical example, not a real customer or event: a shop's bot can't reach an older booking tool directly. The owner checks Zapier's app pages, finds the tool listed, connects it and enables one find action. A read-only test finds a booking that matches what the owner sees in the tool. A month later they enable a create action, but keep it as an approval, so every new record is shown to them first.

More Questions

Does Zapier Replace A Direct Connector?

Use a direct connector when there is one. Zapier fills the gaps.

Is It Safe To Enable Every Action?

Enable only what you need, and keep writes as approvals.

Common Mistakes

  • Enabling every available action.
  • Skipping the test against the real app.
  • Letting writes run without approval.
  • Forgetting old actions that no longer get used.

Why This Matters To Me

I was an overworked and overwhelmed one-person shop trying to run a six-figure business alone, because hiring here is so expensive. Grok Bot helped me accomplish things I never thought were possible. The full story starts in How To Set Up An AI Assistant With Grok Bot.

This post shares my own experience and opinions running Franchitti's Fix. Franchitti's Fix isn't affiliated with or endorsed by xAI, Google, Shopify or Zapier. Product names belong to their owners. Features and plans change, so check each company's current docs. AI makes mistakes, so review its work.

Quick Answers

Can Bots Use Websites That Have No Connector?

Many, yes, through their own browser. A site can still block automation or need a human step, and the bot hands that step to you. As of Oct 2026, per the Grok Bot docs.

Will A Bot Send Email Without Asking?

Drafts come to you for approval before they're sent, and bots check in when something needs your approval. As of Oct 2026, per the Grok Bot docs.

A Small Business Can Work Like A Big One

Many small business owners don't know these AI tools exist yet. That's a missed chance, because they let a small shop handle work that used to need a team: price updates, store edits, daily reports and research. You stay the one who approves every change, and the routine work gets done in the background.

Estimated usage: our rough guide, not an official figure. Est. Usage: Low quick one-off asks; Est. Usage: Medium multi-step tasks or short research; Est. Usage: High long research, many tool calls, browser work or daily routines.

How Grok Bot Usage Works

Franchitti's Fix is run by Steve with help from Grok Bot, so here's the plain version of how its usage works.

  • Your Plan Includes A Usage Allowance. Paid plans come with included usage that refreshes every week. Higher-tier plans include more. Unused usage doesn't roll over. (Source)
  • Bigger Jobs Use More. In general, long research, tasks that use lots of tools and routines running in the background do more work, so they draw down the allowance faster than a quick question.
  • Light Settings Stretch It. Lower effort for simple jobs, fewer and less frequent routines and short, focused requests all help the allowance last. See How To Regulate Grok Bot Usage.
  • Checking Your Usage. In Grok Bot, open Settings, then Usage & Billing. On The X Subscription, you can also check Usage at grok.com/dashboard, which shows the weekly pool, the next reset date and any prepaid credit. (Source)
