Here's how to use AI with RepairDesk: give your bot access to your repair software, have it look for duplicates and loose ends, and approve every fix.
My repair software had 40 duplicate services in it. Forty.

At My Shop
- The duplicate services were found and cleaned up.
- New tickets show up in my morning report.
- Parts orders get matched to purchase orders, and anything that doesn't match gets logged for me.
How I Set Mine Up
My bots connect to RepairDesk through its API, using a key stored as a secret on the bot's computer. The key never goes in a chat or a file I share. RepairDesk is also connected in my Zapier account.
Extra Steps You Might Need
- Create an API key. In RepairDesk, go to Settings, then API.
- Store it as a secret, not in a message.
- No API access? See Zapier AI Automation: How It Fills The Gaps.
The Short Version
Here's the step-by-step version of how I'd connect a bot to repair software and keep it safe: read first, report, and approve every fix.
Before Any Bulk Edit
- Never turn on RepairDesk Sync With Shopify. Leave that setting off in both apps.
- Back up first. Export the records you are about to change, then make the edit.
Step By Step
- Decide what you want the bot to do. Start with reading: finding duplicates, listing new tickets, spotting loose ends. Writing changes can come later, if ever.
- Get API access. In RepairDesk, go to Settings, then API.
- Store the key as a secret. Never paste it into a chat or a shared file. Keep it in the bot's secret storage.
- No API access? Use Zapier to fill the gap, as in Zapier AI Automation: How It Fills The Gaps.
- Start read-only. Tell the bot in its instructions that it may read but never change anything in your repair software.
- Ask for a first report. For example, list services that look like duplicates, with their names and IDs side by side.
- Review and fix it yourself. You decide which entries are true duplicates and make the changes, or approve each one by name.
- Add it to a routine. New tickets and anything that doesn't match go into a morning report, so you see it every day.
What It Found At My Shop
The first report found 40 duplicate services. Now new tickets show up in my morning report, and parts orders get matched to purchase orders. Anything that doesn't match gets logged for me to look at.
Copy These Prompts
Read my repair software only. Don't change anything. List every service that looks like a duplicate of another, side by side, with names and IDs, and say why you think they match.
Est. Usage: Medium
Each morning, add new tickets from the last 24 hours to my report, plus anything that doesn't match between parts orders and purchase orders. Report only; don't fix.
Est. Usage: High
Before You Approve
- The API key is stored as a secret, not in chat.
- The bot's instructions say read-only.
- You reviewed every suggested fix yourself.
- The morning report only shows what changed.
Common Mistakes
- Pasting the API key into a chat. Store it as a secret.
- Letting the bot write changes on day one. Start read-only.
- Approving fixes in bulk. Check each one.
- No routine. A one-time cleanup drifts back without a daily check.
- Reports that list everything. Ask for only new or mismatched items.
Worked Scenario: Cleaning Up Duplicate Services
Say your services list has "Screen Repair" and "Screen Replacement" for the same model, entered years apart. The bot's read-only report puts them side by side with their IDs and notes they have the same model and repair type.
You check which one your booking and pricing actually use, decide the other is the duplicate, and clean it up yourself in your repair software. The next morning's report shows no new duplicates, plus two new tickets and one parts order that doesn't match a purchase order, so you look into that one.
More Questions
Is It Safe To Give A Bot API Access?
Keep the key stored as a secret, keep the bot read-only in its instructions, and make every change yourself or approve it by name.
What If My Plan Has No API?
Zapier can fill some gaps. See the Zapier guide linked in the steps.
Can The Bot Change Prices In My Repair Software?
Keep it read-only. Price changes are yours to make.
A Small Business Can Work Like A Big One
Many small business owners don't know these AI tools exist yet. That's a missed chance, because they let a small shop handle work that used to need a team: price updates, store edits, daily reports and research. You stay the one who approves every change, and the routine work gets done in the background.
Estimated usage: our rough guide, not an official figure. Est. Usage: Low quick one-off asks; Est. Usage: Medium multi-step tasks or short research; Est. Usage: High long research, many tool calls, browser work or daily routines.
How Grok Bot Usage Works
Franchitti's Fix is run by Steve with help from Grok Bot, so here's the plain version of how its usage works.
- Your Plan Includes A Usage Allowance. Paid plans come with included usage that refreshes every week. Higher-tier plans include more. Unused usage doesn't roll over. (Source)
- Bigger Jobs Use More. In general, long research, tasks that use lots of tools and routines running in the background do more work, so they draw down the allowance faster than a quick question.
- Light Settings Stretch It. Lower effort for simple jobs, fewer and less frequent routines and short, focused requests all help the allowance last. See How To Regulate Grok Bot Usage.
- Checking Your Usage. In Grok Bot, open Settings, then Usage & Billing. On The X Subscription, you can also check Usage at grok.com/dashboard, which shows the weekly pool, the next reset date and any prepaid credit. (Source)
