Here's how to use AI with Google Sheets, Drive and Docs: let a bot read the files you already have, total or sort them, and propose changes before it moves anything.

Years of repair logs and order sheets sat in my Google Drive. I knew they mattered for my books, but I never had a free weekend to go through them.

At My Shop

  • Sheets: my accountant bot totaled old repair logs, order sheets and bill sheets and checked them against my tax returns. The bot totals and flags differences. Nothing is filed or paid without my OK, and a tax pro has the final word.
  • Drive: a bot built a read-only cleanup plan: folders for finance, store, marketing and bot handoffs, and a list of verified duplicates. Nothing moved until I approve.
  • Docs: drafts and handoff notes live where I can review them.

How I Set Mine Up

Google Drive, Docs and Sheets are connected to my bot team. The bots read and total; moves and deletes wait for my approval.

Extra Steps You Might Need

Connect each Google app you want the bot to use through Connect apps (source). For spreadsheet automations with other apps, see Zapier AI Automation: How It Fills The Gaps.

  • Privacy: don't put full account numbers or Social Security numbers in sheets the bot reads. Use the last 4 digits only, and give the bot read-only access to finance folders.
  • Separate Accounts: use a separate business bank account and card, so the bot's totals only include business money.

Step By Step

  1. Connect Google Sheets, Drive and Docs in Connect apps.
  2. Point the bot at one sheet by name or link.
  3. Start read-only: ask it to summarize or check the sheet.
  4. Ask for new tabs or copies instead of edits to the main sheet.
  5. Back up before any change to a shared sheet.
  6. Have it write reports to a new doc for you to review.
  7. Keep files organized in dated folders.

What A Sheet Check Looks Like

Sheet: Parts Costs
Rows checked: all
Blank costs: 3 rows
Duplicates: 1 part listed twice
Wrote: summary to a new doc, main sheet unchanged

Est. Usage: Low

Copy These Prompts

Read the sheet [name], read-only. List blank cells in the cost column, duplicate rows and anything that looks wrong. Don't edit the sheet.

Est. Usage: Low

Make a copy of the sheet and apply the fixes I approved in the copy. Leave the main sheet unchanged.

Est. Usage: Low

Worked Scenario: A Cost Sheet With Gaps

Hypothetical example, not a real customer or event: your parts cost sheet has a few blank costs and one part listed twice. The bot's read-only check lists both. You fill in the costs yourself, approve merging the duplicate in a copy, and once the copy looks right, you swap it in.

More Questions

Can The Bot Make Charts?

Ask it to add charts in a copy or a new tab, so the main sheet stays unchanged.

Can It Read Docs And Drive Files Too?

Once connected, yes. Name the file you mean.

Common Mistakes

  • Letting the bot edit the main sheet first.
  • Not naming which sheet you mean.
  • No backup before changes.
  • Reports saved in random places.

Why This Matters To Me

I was an overworked and overwhelmed one-person shop trying to run a six-figure business alone, because hiring here is so expensive. Grok Bot helped me accomplish things I never thought were possible. The full story starts in How To Set Up An AI Assistant With Grok Bot.

This post shares my own experience and opinions running Franchitti's Fix. Franchitti's Fix isn't affiliated with or endorsed by xAI, Google, Shopify or Zapier. Product names belong to their owners. Features and plans change, so check each company's current docs. AI makes mistakes, so review its work.

Quick Answers

Can Bots Use Websites That Have No Connector?

Many, yes, through their own browser. A site can still block automation or need a human step, and the bot hands that step to you. As of Oct 2026, per the Grok Bot docs.

Will A Bot Send Email Without Asking?

Drafts come to you for approval before they're sent, and bots check in when something needs your approval. As of Oct 2026, per the Grok Bot docs.

A Small Business Can Work Like A Big One

Many small business owners don't know these AI tools exist yet. That's a missed chance, because they let a small shop handle work that used to need a team: price updates, store edits, daily reports and research. You stay the one who approves every change, and the routine work gets done in the background.

Estimated usage: our rough guide, not an official figure. Est. Usage: Low quick one-off asks; Est. Usage: Medium multi-step tasks or short research; Est. Usage: High long research, many tool calls, browser work or daily routines.

How Grok Bot Usage Works

Franchitti's Fix is run by Steve with help from Grok Bot, so here's the plain version of how its usage works.

  • Your Plan Includes A Usage Allowance. Paid plans come with included usage that refreshes every week. Higher-tier plans include more. Unused usage doesn't roll over. (Source)
  • Bigger Jobs Use More. In general, long research, tasks that use lots of tools and routines running in the background do more work, so they draw down the allowance faster than a quick question.
  • Light Settings Stretch It. Lower effort for simple jobs, fewer and less frequent routines and short, focused requests all help the allowance last. See How To Regulate Grok Bot Usage.
  • Checking Your Usage. In Grok Bot, open Settings, then Usage & Billing. On The X Subscription, you can also check Usage at grok.com/dashboard, which shows the weekly pool, the next reset date and any prepaid credit. (Source)
